STELLENBOSCH UNIVERSITY IS HIRING AN ADMINISTRATIVE OFFICER

The five parties to the Multi-Lateral Agreement (MLA) (the Western Cape Government: Health and Wellness, and the Faculties of Health Sciences at Cape Peninsula University of Technology, Stellenbosch University, University of the Western Cape and the University of Cape Town), seek to appoint an administrative officer to provide administrative and meeting management services in support of the efficient and effective operation of the Multi-lateral Monitoring Committee (MMC), co-convened by the Western Cape Government Health and Wellness (WCGHW) and Higher Education Institute (HEIs) (with Stellenbosch University (SU) as the nominated HEI, through the office of the Vice Dean: Clinical Services and Social Impact). The administrative officer will report to the office of the Vice-Dean: Clinical Services and Social Impact.

 



 

DUTIES:

Providing an effective and efficient administrative support service to the Deputy Director General (DDG): Chief of Operations (COO), WCGHW and Vice-Dean: Faculty of Medicine and Health Sciences, Stellenbosch University (FMHS SU).

  • Maintaining the repository of all relevant documents related to the Multi-Lateral Agreement (MLA) process.
  • Working with the co-chairs to develop reports for the Health Platform Committee (HPC)/Joint Agreement Governance Council (JAGC)/Joint Standing Advisory Committees (JSACs).
  • Liaising with the parties in respect of the transitional arrangements within the Bilateral Agreement.
  • Providing secretariat and administrative support, including writing of minutes for the revision of the MLA,  liaising with the co-chairs and bilateral teams as well as other parties involved in the review process, such as legal teams, and  collating information to support the process, including data.
  • Preparing documentation for consultation.

 



 

 

  • Tracking the changes to the revised MLA document and redrafting to completion.
  • Providing an efficient and effective meeting management support service to the DDG: COO,WCGHW and the Vice-Dean: FMHS SU.
  • Providing a secretarial support service and assisting with the planning and organising of meetings, workshops and stakeholder’s engagements.
  • Providing an effective and efficient financial and SCM support service to the DDG: COO, WCGHW and Vice-Dean: FMHS SU.
  • Coordinating meetings, workshops and strategic planning sessions in line with budgetary processes and constraints.

 



 

 

JOB REQUIREMENTS:

  • Senior certificate (Grade 12) and a relevant post-school qualification.
  • At least two years’ relevant administrative and meeting management experience in the Higher Education or Health Sector.
  • A valid driver’s licence (Code B/EB).
  • Excellent verbal and written communication skills in at least two of the official languages of the Western Cape.
  • Advanced computer literacy (Word, Outlook, PowerPoint, Excel, Teams).
  • The ability to function independently and to work in a team.
  • Willingness to travel locally.

 



 

RECOMMENDATION:

  • Relevant administrative experience at executive management level.
  • Experience in a legal environment.
