About the role
Ensure administrative duties are maintained.
Key responsibilities
- Continuous upkeep of the reception area and surrounding areas.
- Answering the phone and sending off messages.
- Receiving all visitors (guests and maintenance workers) on site, going through the sign-in procedures etc.
- Receiving parcels and arranging for collection/distribution thereof.
- Support in sending off general parcels via our courier company.
- Provide support and liason for Servest Cleaning staff and Servest Security Staff onsite.
- Assist with support to the driver.
- Assistance to book rooms for meetings/events via the calendars.
- Ordering of stationery/groceries etc
- Support our local ITC as a Team Player to add on new Users for Access Control.
- Provide support for travel arrangements to Kerry visitors and non-card holder Kerry Travellers as per the Kerry processes.
- Booking venues/catering for functions/events/business strat sessions etc. Any other ad hoc related admin Communication.
Qualifications and skills
- Grade 12 (NSC) is a minimum requirement, related tertiary qualification will be advantageous
- 2-3 years of similar experience within a fast paced environment Proven experience as an Office manager, Front office manager or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email scheduling tools, like Email Scheduler
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
